Referral Policy

In order to access the support and services provided by Hope City Furniture it is essential that an individual is referred by a recognised agency or organisation. The Referral Form can be found on the website at hopecityfurniture.org.uk/referral. All agencies wishing to refer individuals to Hope City Furniture must first register in order to receive a password to access the Referral Form. In order to do so please send an e-mail to: [email protected]

 

The purpose of the referral form is to collect the necessary personal information needed to carry out the referral and to ensure that the referred individual meets the referral criteria of Hope City Furniture.



The main purpose of Hope City Furniture is to assist those individuals and families who have been rehoused due to a specific and/or unexpected crisis they have experienced in their lives, and who find themselves having to furnish a new home from scratch without the means to do so. As such, provision of furniture from Hope City Furniture is primarily a one-off crisis response to help individuals get back on their feet. It is not designed to be an ongoing service. Referrals that do not meet the primary criteria of the charity i.e. where the individual has not been rehoused within the last three months, will be processed at the discretion of the Directors and only if the time and resources required are available.

 

Due to our limited resources, we are not normally able to process referrals due to general low income, benefit cuts, or long-term financial crisis. We will also not normally accept referrals where furniture poverty is due to ongoing destructive, or poor, lifestyle choices. However, we will consider such referrals on a case-by-case basis. If an agency feels that they have someone who is in genuine need but does not fit the criteria listed, they should contact the charity on the email address above.

Privacy

At Hope City Furniture we collect different types of information about our users for two main reasons:

  1. To provide personalised services unique to individual users
  2. To help us to monitor and improve the services we offer

Our principles

    • We make sure that we process your data lawfully including ensuring appropriate security measures to protect your information; and
    • We make sure that when we ask another organisation to provide a service for us, they have appropriate security measures

You should only receive news and information (whether by email, post, or telephone) from us as you have requested. We endeavour to make our guidance clear and explicit when you make your choices. For example, you ‘opt-in’ by selecting the Subscribe Now option if you want to receive news and information and, afterwards, you can change your preferences at any point.

  3. We will collect and use individual user details only where we have your consent or other legitimate legal bases for doing so, such as collecting enough information to manage your subscription preferences.

  4. We will be clear in our dealings with you as to what information about you we will collect and how we will use it.

  5. We will use personal information only for the purposes for which it was originally collected and we will make sure we delete it securely.

  6. Under no circumstances will we sell or receive payment for licensing or disclosing your personal information.

How we use your information

What information do we collect?

We collect information on you:

  • when you sign up to the services we provide
  • when you subscribe to receive updates from us

 

Subscribe for updates

The minimum information we need when you subscribe to receive updates from us is your name and email address.

 

After you have completed the ‘Subscribe Now’ form with your permission, we may send you emails we think may interest you. At any time you can decide not to receive these emails and will be able to ‘unsubscribe’.

 

Who we share data with

We will only use personal information you have provided us for the purpose for which you provided it. We will not use it for any other purpose without your consent.

 

We can access and release personal information to keep to relevant laws and government requests, to operate our systems properly and to protect both us and our users.

 

We use MailChimp as our marketing automation platform. By subscribing to receive updates from us you acknowledge that the information you provide may be transferred to MailChimp for processing in accordance with their Privacy Policy and Terms.

Legal information and how to contact us

Hope City Furniture is not registered with the Information Commissioners Officer as it is not legally required to do so for the following reason:

 

Our organisation is established for not-for-profit making purposes. Any profit that is made is not used to enrich others. We do however, as an organisation, adhere to the principles of the General Data Protection Regulations and understand best practice for managing information.

 

If you would like access to, or a copy of, the personal information we hold about you, you wish to request a correction, or you have any questions about how we may use it or to make a complaint, please contact the us by email: [email protected].

 

Complaints will be dealt with in a timely fashion and will be responded to within 30 days at the latest.

 

If you are not satisfied with the way your complaint was handled, you may refer your complaint to the Information Commissioner’s Office.
